How Greentone Boosted Its Operational Efficiency with Talan's Close Collaboration

Greentone, a frontrunner in cannabis production and distribution in Canada, engaged Talan's services to navigate challenges in implementing a new ERP system. This system was vital to meet the company's operational, strategic, and tactical needs. Enhancing Greentone's operational efficiency through this ERP implementation was also a key objective of this partnership.

Greentone: Pioneering Responsible Cannabis Consumption

As a private cannabis producer in Quebec, Greentone distinguishes itself in the industry as a maker of premium-quality products. Leading Greentone is a team brimming with passion and extensive expertize in genetics, cultivation, harvesting, processing, packaging, marketing, and sales.

Their mission is straightforward yet ambitious: to consistently surprise and delight consumers with innovative products and brands that not only meet but exceed their expectations. With an infrastructure designed to cater to a growing demand, Greentone ensures a steady supply of top-tier cannabis for both Canadian consumers and their global clients and partners.

Boasting a facility of 320,000 square feet and currently producing 45,000 Kg annually, Greentone has set its sights on growing its production capacity to 200,000 Kg in the near future. Each phase of their process is rigorously examined to maintain the high quality of their cannabis at scale.

Greentone is trailblazing responsible cannabis consumption, integrating sustainability, inclusion, and diversity into its core commitments to society. The team at Greentone is deeply committed to an ethical and responsible approach in the cannabis industry, aiming to lead by example in this sector.

The Talan Partnership: Solving Productivity Challenges

Greentone previously relied on an industry-specific version that lacked scalability and couldn't keep up with new digital trends. To address this, their business processes underwent a major overhaul, incorporating best industry practices. By implementing Business Central with minimal modifications, they significantly improved process fluidity and efficiency while greatly enhancing operational visibility. With this new platform, Greentone now benefits from a wide range of updated financial, production, inventory, and supply chain management capabilities, strengthening its competitive advantage in the marketplace. In addition, the solution offers an intuitive interface and advanced reporting tools, providing the company with clear and valuable insights to make informed strategic and operational decisions. This transition is not only a significant step forward for Greentone, but also a source of excitement and momentum for its future.
The rising competition and Greentone's geographical growth further necessitated a change. Faced with increasingly complex operations, the company had to seek a solution that would boost productivity and performance while providing better monitoring.

Talan: The Ideal Partner for Implementing ERP Business Central Microsoft Dynamics 365

Greentone had several reasons for choosing Talan's expertize over others:

  • Expertize in Business Central: Talan possessed deep knowledge of the Microsoft Dynamics 365 Business Central enterprise management system and had the best resources for managing such a significant project.
  • Familiarity with both Old and New Systems: Talan was well-versed in both Greentone's former management system and the ERP they aimed to implement, ensuring a smooth transition to the new system.
  • Industry-Specific Experience: Working with other partners in the same sector as Greentone, Talan had developed a comprehensive understanding of the unique challenges and opportunities in the industry.

Talan's extensive experience in successfully implementing Business Central was one of the key reasons we chose to partner with them, Project Manager.

Customized Solutions

Greentone selected Microsoft Dynamics 365 Business Central as their tailored solution to meet their goals. This upgraded version of their previous system was the ideal choice, significantly easing the change management process for Greentone’s teams. The integration of Business Central into Microsoft Dynamics 365 unfolded in several key phases:

    • Strategic Planning
    • Custom Solution Design
    • System Configuration
    • Comprehensive Testing, including unit tests and User Acceptance Tests (UAT) with end-users
    • Tailored Training Sessions, conducted by Talan for each module, with options for additional training post-ERP implementation based on Greentone’s needs
    • Delivery/Implementation
    • Stabilization Phase

Although the integration faced challenges, they were successfully managed. The most significant challenge occurred when the teams transitioned from the old system to the new one on July 1st.

The first day of the month was a Saturday, requiring a weekend implementation so that everyone could start on the new system by the start of the week,” reports Greentone’s project manager.

These challenges were mitigated through proactive planning and the collaborative effort of Talan’s team members, effectively handling unexpected obstacles.

Satisfying Outcomes

Post-implementation, Greentone conducted an internal survey to gauge how Business Central Microsoft Dynamics 365 was received by the ERP users. The feedback revealed:

  • A successful implementation with satisfied staff: users appreciated the user-friendly system enabling them to generate daily reports and enjoy enhanced tracking capabilities.

We are currently in the stabilization phase, so naturally, issues arise occasionally. The satisfaction of the end-users is our satisfaction as well,” says Greentone’s project manager.

  • The results showed a notable boost in operational efficiency, with 95% of the solution’s users expressing high satisfaction.
  • There was also a marked reduction in workload, with certain tasks experiencing decreased completion times.

Future Endeavors

Greentone is actively working on several projects, with a key focus being phase 2 in collaboration with Talan. This phase includes the integration of a quality module using Silverware. Additionally, development efforts are underway to enhance restricted access permissions. The company is diligently preparing a report for Health Canada, as well as a comprehensive sales report.
Beyond phase 2, Greentone's strategy involves the implementation of a Warehouse Management System (WMS), the enhancement and deployment of a Material Requirements Planning (MRP) system, and the planned rollout of a Manufacturing Planning System (MPS). The company is also dedicated to identifying and developing department-specific Key Performance Indicators (KPIs) utilizing Power BI, and initiating a Customer Relationship Management (CRM) system tailored for sales operations.
As a final objective, Greentone aspires to diversify its product range by introducing new brands and innovating new products, aiming to broaden its reach and penetrate new market segments.
